Cancellation & Payment Policy Agreement

Thank you for choosing to work with Stephanie Rouillard, Registered Dietitian (DT 0051179). 

To ensure fairness and efficiency for all clients, please review and acknowledge the following terms before your consultation.

1. Booking and payment

  • This is a cash-based practice. Payment is required on or before the day of your consultation.

  • Payments can be made via EFT, SnapScan, or card.

  • A payment receipt will be issued once payment is received.

  • If more than eight (8) months have passed since your last consultation, the session will be billed as a new initial consultation to allow for a full reassessment.

  • Rates are subject to change and can be viewed at any time on the official rates page: https://stephanierouillard.info/pages/rates 

2. Cancellations and missed appointments

  • Cancellations made less than 24 hours before your scheduled appointment will be charged the full consultation fee.

  • If you miss an appointment without notice ('no-show'), the full fee will still apply.

  • This policy ensures that appointment times are respected and available to other clients in need.

3. Late payments

  • If payment has not been received within one (1) month of your consultation date, a written reminder will be issued.

  • Thereafter, a 10% late payment fee will be added for every month that the outstanding balance remains unpaid.

  • Continued non-payment may result in administrative action and suspension of future appointments until the account is settled in full.

  • Payment of overdue fees remains the responsibility of the client, even if services have already been rendered.

4. Medical aid reimbursement

  • This practice does not claim directly from medical aids.

  • You will receive a detailed paid invoice (with ICD-10 and procedure codes) which you can submit to your medical aid for possible reimbursement.

  • Please note: We charge above medical aid rates, so your scheme may only reimburse a portion of the consultation fee.

5. Agreement

By ticking the box below, you confirm that you:

  • Have read and understood the Cancellation & Payment Policy.

  • Accept full responsibility for payment of your consultations.

  • Understand that late cancellations (less than 24 hours) or missed appointments will be charged in full.
